Process automation

Process automation that does not fall apart.

Process automation in a company means that software, rather than a person, handles repeated steps such as forwarding, retyping or routing for approval. For simple flows, Power Automate, n8n or Zapier is enough. When money, stock or several systems at once are involved, we build a proper integration. We add an AI agent only where a text has to be read and someone has to decide what to do with it.

Three routes

A tool, an integration or an AI agent.

Each route suits something different. An overly complex solution is as much a mistake as a fragile tool on an important process.

A tool is enough

Power Automate, n8n or Zapier, when it is a simple flow between two applications.

  • Approving purchase requests and holidays in Power Automate
  • Reminders before a contract ends or an inspection is due, in n8n or Zapier
  • Copying a form into a spreadsheet or CRM
  • A mistake costs nothing serious

You need an integration

When the flow carries money, stock or orders and has to last for years.

  • Matching payments to invoices and flagging differences
  • Orders between the online shop, warehouse and ERP
  • Several systems in one process
  • When something fails, you have to know what happened

You need an AI agent

When a step means reading a text and deciding what to do with it.

  • An enquiry in an email that has to be understood
  • A complaint where the order has to be found and a next step proposed
  • A reply to a customer based on the status in the system
  • A person approves the output before it is sent
Work for an AI agent

Steps that need reading and a decision.

Power Automate forwards an email, but cannot tell whether it holds an enquiry, a complaint or an invoice. The process has to be written down and have one owner, because automated chaos is still chaos.

  • Operations

    Sorting incoming mail

The agent recognises whether it is an enquiry, a complaint or an invoice and sends the email to the right person.

  • Sales

An enquiry recognised in an email

The agent reads the enquiry, records it in the CRM and drafts a reply.

  • Support

A complaint with the order already found

For a complaint the agent finds the order and the delivery and drafts a proposed solution for approval.

  • Operations

A reply based on the system status

When a customer asks, the agent looks up the order status and drafts a reply.

How we decide

Three questions that set the route.

01

How many cases and how often

A simple tool handles a few requests a week. When many arrive every day, they need an integration that will not get overloaded.

02

What a mistake costs

When a notification fails, nothing serious happens. When a payment or a stock movement goes wrong, it is expensive. That is where we build an integration with checks and a log.

03

Who will maintain it

A flow in Power Automate needs a person who understands it. If you do not have one, we build a solution that we look after ourselves.

Frequently asked

What you ask about process automation.

  • Software does repeated steps instead of a person. It forwards a document, writes data into a system, sends a request for approval or flags a deadline. People can then focus on work that needs judgement.
